A self-service tool based on SharePoint minimised manual administration, resulting in annual time savings of 250 hours.
The Challenge
The team struggled to maintain a cohesive understanding of how tasks were progressing across various campaigns and projects. In the absence of centralized visibility, it became challenging to:
- Pinpoint bottlenecks and instances of task overload
- Effectively prioritize assignments
- Make decisions based on data insights
Relying on manual tracking proved to be time-intensive, inconsistent, and provided minimal insight into where focus was most required.
The Approach
I worked closely with the team to outline the workflow, pinpoint crucial metrics, and address reporting challenges. Our aim was to develop a tool that would:
- Create over 20 queries to pull insightful data
- Centralize task data from various sources
- Offer a real-time snapshot of team workload and output
- Emphasize areas needing focus to facilitate quicker, more informed decisions.
The Solution
Using Microsoft Azure Devops, I developed the Team Pipeline & Delivery Dashboard with:
- Centralised Visibility: Consolidates tasks across campaigns and projects into one interactive view.
- Conditional Formatting: Tasks automatically highlight based on priority, status, or approaching deadlines.
- Interactive Insights: Graphs and visual summaries display workload distribution, completion trends, and potential bottlenecks.
- Automated Updates: Integrates seamlessly with existing workflows to remove manual updates and maintain accuracy.
This dashboard became a single source of truth, enabling the team to understand at a glance where work was going and what required immediate focus.
